Securely Import User Data

To securely import your user data into VocalEyes, follow these steps:

  1. Navigate to Group Admin > USERS > User Import
  2. Click Download Template to view the required fields for your data.
    Note: if you wish to integrate VocalEyes with your intranet to enable Single Sign On at some stage in the future, you will need to include intranet usernames. This should significantly increase engagement.
  3. Fill in the Contact Details for Technical Support and Group Coordinator.
  4. Upload your file > Click UPLOAD & FINISH.
  5. You will then be notified via email once the import is complete.

10 Steps to Success for New Groups

If you’ve just started a new group on VocalEyes, follow these simple steps to hold a successful conversation.

  1. Identify a small number of people to become the VocalEyes Coordinating Group. They will be Group Editors & Admins to manage content and group settings.

    Arrange training for these people with VocalEyes and set up regular ongoing support calls to help you hold a strong and authentic conversation. Email
  2. Register, Login and Create Group (from your dashboard) at
  3. Update the header image and logo to suit your group.
  4. Add the first Topics. These are the questions, challenges & topics for the first conversations.
  5. Add the first ideas in response to these Topics. Rate and comment on each idea.
  6. Kick-start the conversation. Initially with your Community Organisers and then invite a small group of colleagues to engage in the conversation.Ask people to REGISTER, LOGIN & SEARCH

     for your Group. Then JOIN, RATE, COMMENT and ADD IDEAS of their own.

  7. Engage a wider audience digitally by:
    1. Emailing them with instructions on how to join.
    2. Importing all users into your group. Send CSV file to
    3. Embed the VocalEyes widget into you intranet (if you have one).
    4. Use Social Media to promote the conversation, topics, ideas and other content
  8. Engage people face to face by:
    1. Arranging regular group sessions where you discuss the ideas in more depth and also help people register and join the conversation online.
    2. Integrating participatory democracy into the culture and governance of your communities and organisations, some examples here.
  9. Ensure the priorities are printed off before each council/committee/group meeting and help to inform the meeting agenda. Create the Meetings, set the Agenda & take Notes on the platform.
  10. Log actions, outcomes and create news articles on the platform about good ideas that have turned into action. This will create a positive feedback loop with your members and encourage ongoing engagement.
